Terms of service

In short
- A 30-day free trial, then a yearly or monthly plan based on active students.
- Your institute’s data stays yours: export it any time, close the account whenever you like.
- You are responsible for having parents’ consent and for what your staff enter; we are responsible for running FeeDesk carefully and keeping the data safe.
- If a plan lapses, nothing is deleted: the institute becomes read-only.
1These terms
These terms are an agreement between Codeworth, a business run by Swayam Bhalotia and Keshav Mishra as partners (not yet registered), West Bengal, India (“Codeworth”, “we”) and the institute that uses FeeDesk (“you”). The person who creates or accepts the institute’s account (its Owner) accepts them for the institute and confirms they may do so. Our privacy policy and data processing agreement form part of these terms.
2Accounts
- Every account holder must be at least 18 years old.
- You decide who in your institute gets an account and with which role, and you are responsible for what they do in FeeDesk. Remove access promptly when someone leaves.
- Keep passwords and authenticator apps private. Owners must use two-factor sign-in. Tell us at once if you think an account has been misused.
3Trial, plans and payment
- A new institute gets a 30-day free trial with every feature. No card is needed.
- After the trial, you choose a plan. Plans differ only in the number of active students; every plan has every feature. Current prices are on our pricing section.
- We send an invoice for each period, payable by UPI or bank transfer. Prices are before GST; GST is added only once Codeworth is registered for it, and only as the law requires.
- If a renewal is not paid, you keep full access for 15 days. After that, or when a trial ends without a plan, the institute becomes read-only: everything can be viewed and exported, nothing can be changed, and parents’ payments already started are still recorded. Paying restores full access.
- At the student limit of your plan, new admissions stop; fees, receipts and attendance for existing students never do.
- Fees already paid are not refunded for a partly used period, except where the law requires, or where we end the service without cause (then we refund the unused part).
4Your responsibilities
- Collect and use students’ and parents’ personal data lawfully. For children, that means the verifiable consent of a parent or guardian, which FeeDesk lets you record. You are the Data Fiduciary for this data under the DPDP Act.
- Keep what you enter accurate: fee amounts, discounts and receipts are as correct as the information your staff put in.
- Messages you send through your own WhatsApp Business and SMS accounts must follow those services’ rules and Indian telecom regulations (including SMS template registration). Their charges are billed to you by them.
- Do not upload anything unlawful, try to reach another institute’s data, overload or probe FeeDesk, or use it to send messages people did not agree to receive.
5What we do
- Run FeeDesk with reasonable skill and care, fix problems promptly, and keep your data secure as described in the data processing agreement.
- Answer support requests on WhatsApp (+91 98329 00366) and email (codeworth.official@gmail.com), usually the same day.
- Use your institute’s data only to provide FeeDesk to you. We never sell it, show ads or use it for anything else.
- Online payments go straight to your own Razorpay account. Codeworth never holds or takes a share of your fee collections.
We aim to keep FeeDesk available at all times but cannot promise it will never be interrupted (for maintenance, which we try to do outside teaching hours, or problems beyond our control, including failures of WhatsApp, SMS, payment or hosting providers).
6Your data
All data your institute puts into FeeDesk remains yours. You give us permission to store and process it only as needed to provide FeeDesk to you. The Owner can download everything as a ZIP of spreadsheet files and uploaded documents at any time, including when the institute is read-only.
7Ending the service
- The Owner can close the account at any time from Settings. Everything is permanently deleted 30 days later; until then you can export it or cancel the closure.
- We may end the service with 30 days’ notice, for example if an institute has been read-only for a long time. You will be able to export your data first.
- We may suspend access at once if an account is being used to break the law, attack FeeDesk or harm others, or to protect everyone’s data during a security incident. We will tell you why.
8Liability
To the extent the law allows, Codeworth is not liable for indirect or consequential losses (such as lost income), and our total liability for any claims in a year is limited to the fees you paid us in the 12 months before the claim. Nothing in these terms limits liability that cannot be limited by law.
You are responsible for claims arising from data you collected without the required consent, or from your staff’s misuse of FeeDesk.
9Changes
We may update these terms or our prices. We will email the Owner at least 15 days before a change takes effect; a new price applies from your next renewal. If you do not agree, you can close your account before the change.
10Law and disputes
These terms are governed by the laws of India. We will first try to resolve any dispute by talking to you. Failing that, the courts at Kolkata, West Bengal have jurisdiction.
